If you play a smaller instrument such as a violin, you can very often carry it on with you, however we will need to confirm this with your airline prior to travel. We recommend asking your teacher, local instrument shop and/or manufacturer for advise on how to pack your instrument for an international performance tour.

Important Note for Tortuguero: We will be traveling to Tortuguero for two nights. For this portion of the tour we ask you to pack a separate small bag, as we will be traveling by small boat and there is not a lot of room for luggage. Upon returning from Tortuguero you will be reunited with your main suitcase and instrument. In Tortuguero you will need two days of clothes for walking/hiking, swimming in the pool and dinner at night time. Please also bring your rain coat as it does tend to rain there. It is also important to bring your mosquito repellant.

Early summer is a very mild and nice time to visit Costa Rica, it is the beginning of the rainy season so you will experience a combination of both sunshine and rain. By registering for this program, you are agreeing to participate in a full-service group travel experience, operated by United World Concert Tours, or one of our affiliate businesses. Because of the unique nature of group travel, many elements of your program and itinerary may be selected and/or scheduled at the direction of your Group Leader (the teacher, administrator, or parent from your school or organization), who will act as your group’s representative. Further, please note that, while United World Concert Tours and its affiliates will arrange the various travel elements for your trip, the total price quoted for your program includes additional pre-trip services, including but not limited to the development of the associated travel content, the printing and distribution of program materials, the costs associated with our various group health and safety measures, and the administrative and service costs related to group management.

If you register directly with United World Concert Tours, there are two payment options: (1) pay in full at time of registration (2) make scheduled installment payments, starting with a deposit at the time of registration.
We also strongly recommend that you use a credit card for your purchase, so that you can exercise your rights under the Fair Credit Billing Act if you do not receive the services you purchased. However, if we are the credit card merchant, our role is to facilitate the sale, collect funds on your behalf, and remit those funds to the Suppliers. If the Suppliers do not provide the services, your only recourse would be against the Suppliers, and you agree not to initiate a chargeback against us.
Your tour space is not guaranteed until your account has been paid in full or your payments have been successfully received prior to the stated deadline and you have been advised in writing that all conditions for travel have been satisfied.
The price quoted is based upon a minimum number of travelers, the content of the program as outlined in your trip information document and the date of your registration. The price quoted is subject to adjustment if the minimum enrollment is not met, if the program content or itinerary changes, or in the event of circumstances beyond United World Concert Tours’s direct control, including, but not limited to, increases in travel security charges, government imposed fees and taxes, fuel and energy costs, and airline, vendor, or group imposed schedule changes or delays. Travel arrangements involving airline and cruise components are subject to Suppliers’ supplemental price increases that may be imposed by the supplier and/or government, even after you have completed your purchase. You hereby consent to any such price increases and authorize your credit or debit card to be used for them. Suppliers have their own contracts covering cancellation penalties and other terms and conditions, and you may be bound by those contracts regardless of whether you receive notice of their terms.
If 1) your price is guaranteed for a minimum number of participants of 50 or more or 2) your group size is below the minimum number of participants, your group may be combined with other group(s) on the program. The combinations may not be of the same age level or have the same itinerary. If the Group Leader chooses not to be combined and travels with less than the minimum number of participants, an additional small group fee will be charged to your account.
Unless specifically stated in your trip information document, United World Concert Tours’ program prices do not include; passport fees, visa fees, lunches, beverages with meals, baggage charges, equipment or instrument rental or storage, equipment or instrument insurance, expenses incurred during free time, porterage at airports and hotels, transportation from your home to the origination point of the program and back, tips to guides and long distance bus drivers, or transportation, overnight lodging and meals in the United States prior to departure or upon return of an international flight.
United World Concert Tours charges a late registration charge of $90, for registrations received after the final payment deadline. If you register prior to the final payment deadline as stated on your trip information document but your account is not paid in full by that date, United World Concert Tours charges a $60 late payment fee. The fee for any late payments made after any scheduled installment date is $15. No personal checks or business checks will be accepted after the final payment deadline. There is a $35 service charge on returned checks, declined credit cards or declined echecks. A $100 fee may apply for any correction made to your name within 75 days of the departure date. (For international programs, a $150 fee may apply for any changes made within 105 days of departure).
The services and value we provide begin long before your date of departure, and there are significant unrecoverable costs as your departure date approaches. Therefore, if you, the Group Leader, school, or school administration cancel beyond the 24-hour grace period, United World Concert Tours will be entitled to retain all fees and deposits already paid. All bookings are non-refundable and non-transferable. All cancellations must be made in writing by the person listed on the registration form to your account representative or customer service at Team@United World Concert Tours.com or via mail to United World Concert Tours, 7220 Trade St. Ste 212 San Diego CA 92121 must be postmarked prior to the group’s departure, and must include account number, registrant’s name, and complete address. The Group Leader may cancel the program on behalf of the entire group, or any individual participant. Within 24 hours following receipt of your registration confirmation or initial payment invoice (whichever is first), you may cancel your United World Concert Tours program and receive a full refund. After 24 hours, no-refunds will be given.
All refunds are issued using the original form of payment on the account. Check refunds are only issued to the primary responsible party listed on the account. United World Concert Tours accepts payment via check, e-check, debit card, and credit card. Should you choose to use a gift and/or preloaded credit card to make one or more payments on your United World Concert Tours account, United World Concert Tours is not responsible for replacing any credits that are successfully processed back to any lost, stolen, or destroyed gift or preloaded credit card account used for payment.
For your protection, we strongly recommend that you purchase trip cancellation and travel accident insurance. Please note that, unless you buy a cancel-for-any-reason policy, most policies have a specific clause stating they do not cover epidemics and pandemics, especially when travel warnings are in place. No representation or description of the insurance made by our staff constitutes a binding assurance or promise about the insurance. You agree to hold us harmless for your election not to purchase travel insurance or for any denial of claim by travel insurer as it relates to COVID-19 or any other claim under the policy.
Without limitation, United World Concert Tours, including its affiliates, owners, officers, agents, employees or any associated organization, is not responsible for any injury, loss, or damage to person or property, death, delay, overbooking or downgrading of accommodations, mechanical or other failure of airplanes or other means of transportation or for any failure of any transportation mechanism to arrive or depart timely, dangers associated with animals, sanitation problems, food poisoning, lack of or quality of medical care, illness or disease, difficulty in evacuation in case of a medical or other emergency, or for any other inconvenience beyond the direct control of United World Concert Tours, in connection with the provision of any goods or services whether occasioned by or resulting from, but not limited to, Exceptional Circumstances. Exceptional Circumstances may also justify postponement or (if postponement is not achievable) cancellation of trips. Exceptional Circumstances include, but are not limited to, acts of force majeure, war (whether declared or not), criminal or terrorist activities of any kind or the threat thereof, civil unrest, strikes or other restrictive labor activities, illness or disease, actual, perceived or threatened epidemics or pandemics, government-imposed travel restrictions or closures, and other events outside United World Concert Tours’s control that make performance of a trip as contemplated impossible or impractical.
Upon cancellation of the transportation or travel services, where the passenger is not at fault and has not canceled in violation of any terms and conditions previously clearly and conspicuously disclosed and agreed to by the passenger, all sums paid to the seller of travel for services not provided will be promptly paid to the passenger, unless the passenger advises the seller of travel in writing, after cancellation. This provision does not apply where the seller of travel has remitted the payment to another registered wholesale seller of travel or a carrier, without obtaining a refund, and where the wholesaler or provider defaults in providing the agreed-upon transportation or service. In this situation, the seller of travel must provide the passenger with a written statement accompanied by bank records establishing the disbursement of the payment, and if disbursed to a wholesale seller of travel, proof of current registration of that wholesaler.
This transaction is covered by the California Travel Consumer Restitution Fund (TCRF) if the seller of travel was registered and participating in the TCRF at the time of sale and the passenger is located in California at the time of payment. Eligible passengers may file a claim with TCRF if the passenger is owed a refund of more than $50 for transportation or travel services which the seller of travel failed to forward to a proper provider or such money was not refunded to you when required. The maximum amount which may be paid by the TCRF to any one passenger is the total amount paid on behalf of the passenger to the seller of travel, not to exceed $15,000. A claim must be submitted to the TCRF within 12 months after the scheduled completion date of the travel. A claim must include sufficient documentation to prove your claim and a $35 processing fee. Claimants must agree to waive their right to other civil remedies against a registered participating seller of travel for matters arising out of a sale for which you file a TCRF claim. Participants are solely responsible for their pre-tour, tour, and post tour medical care in all respects, including, but not limited to, obtaining and taking necessary medication(s), vaccinations, and any other medical care and treatment.
We have no responsibility for COVID-19-related requirements that travel suppliers and governments may impose from time to time, such as required vaccinations, health affidavit forms, COVID-19 screenings prior to departure or upon arrival, face coverings, or quarantines. For the latest travel supplier rules, check the website of each supplier, and keep checking because these rules are constantly changing, and we are not responsible for those changes.
Every participant is responsible for obtaining the required documentation necessary prior to departure, such as a valid passport, visa, transit visas, notarized parental consent form (if applicable), and any required travel insurance coverage. Secure flight data (including name and birthdate) must fully match the information provided to United World Concert Tours for inclusion on travel documentation and airline tickets, and must meet any other applicable compliance requirements issued by the Transportation Security Administration or related agencies. It is the participant’s sole responsibility to assure that this information is fully up to date no later than 85 days prior to the group’s departure date. If changes occur after that date, the participant must contact customer service and additional change fees will apply. You assume full and complete responsibility for checking and verifying any and all passport, visa, or other entry requirements of your destination and your connecting points, and all conditions regarding health, safety, security, political stability, and labor or civil unrest at such destination. Many countries require your passport to be valid for six months or more after your date of entry. Some countries will not admit persons convicted of a crime. Some countries require both parents’ consent for minors to travel.
If a participant is unable to travel due to the lack of a proper identification, passport or visa, or necessary inoculations, the standard cancellation policy will apply. Reservations are not transferable at any time.
United World Concert Tours, the Group Leader, and chaperones establish behavior rules and directions for all student participants. Failure to abide by the rules or directions may result in the student being sent home at the parents’ expense without any right to a refund. All program participants will be responsible for their own actions at all times. Participants will be required to sign a behavior contract prior to departure. On occasion, program participants may be allowed by the Group Leader to leave the group and to explore on their own. United World Concert Tours has no responsibility for participants when they are on their own or with the group and it is the sole responsibility of those participants to take whatever actions are necessary to rejoin the group, at their own cost. If a program participant is late in appearing for a scheduled departure, the Group Leader has no duty to delay the Program to wait for the participant.
Participants understand that Group Leaders and chaperones may receive support for their work through discounted travel with their group, opportunities for additional educational and professional development, the ability to provide scholarships for needy and deserving students, and/or through salary or stipends.
Participants are fully responsible for any costs arising from the damage, loss, or theft of any personal property during the program. This includes recovery and delivery costs of lost items and any costs related to repairs of musical instruments.
United World Concert Tours happily welcomes all travelers on our tours. However, the trips are fast paced, require a great deal of walking, and can be physically demanding. Due to these restrictions, you may not be able to fully participate in the tour. Furthermore, United World Concert Tours is not responsible for any denial of service by carriers, hotels, restaurants, and other independent suppliers, and cannot refund the cost of any activity in which you were unable to participate. We encourage that any disability requiring special attention be reported to the Group Leader and United World Concert Tours at the time you make your reservation. United World Concert Tours will make reasonable attempts to accommodate special needs. Travelers requiring extraordinary assistance must be accompanied by a paying companion who is capable of and totally responsible for providing the necessary assistance. The Americans with Disabilities Act does not apply outside of the United States.
United World Concert Tours cannot be responsible for accommodating any food allergies, or dietary requirements and restrictions, and is not responsible for any problems associated with the same. All issues regarding food and drink, including allergies, or dietary requirements and restrictions, are the sole responsibility of the participant. However, participants are encouraged to communicate any special dietary requirements to the Group Leader in advance of travel, and United World Concert Tours will assist the Group Leader with requesting special meal accommodations from the food establishments. United World Concert Tours cannot guarantee that accommodations will be available.
Changes or substitutions in hotels, itinerary, inclusions, or airports may be made depending on your travel dates, arrival and departure times, national holidays, and events beyond United World Concert Tours’ control at the discretion of United World Concert Tours as it deems necessary or desirable. On certain dates some attractions or activities may be closed. United World Concert Tours at its sole discretion may cancel a program due to insufficient enrollment, unforeseen operational difficulties, lack of projected availability, or any other reasons at any time. Whenever possible, suitable alternatives will be provided. United World Concert Tours reserves the right to change the date of departure due to heavy demand on certain peak travel dates. These changes are not grounds for cancellation without penalty or refunds.
United World Concert Tours, its employees, shareholders, subsidiaries, affiliates, officers, directors, successors, agents, and assigns (collectively, “United World Concert Tours”) does not own, operate or control any person or entity which is contracted to or does provide goods or services for your trip, including, for example, lodging facilities, airline, vessel or other transportation companies, guides or guide services, local ground operators, entertainment or sightseeing operators, providers or organizers of optional excursions, food service providers, etc. All such persons and entities are independent contractors. We are not responsible for the acts or omissions of the Suppliers or their failure to adhere to their own schedules, provide services or refunds, financial default, or failure to honor future trip credits. We have no special knowledge regarding the financial condition of the Suppliers and no liability for recommending a trip credit in lieu of a refund. As a result, United World Concert Tours is not liable for any negligent or willful act or failure to act of any such person or entity, or of any third party.
Without limitation, United World Concert Tours is not responsible for any injury, loss, or damage to person or property, death, delay, or inconvenience in connection with the provision of any goods or services whether occasioned by or resulting from, but not limited to, acts of force majeure, war, civil unrest, insurrection, strikes or other labor activities, criminal or terrorist activities of any kind or the threat thereof, lost or stolen belongings, overbooking or downgrading of accommodations, mechanical or other failure of airplanes or other means of transportation or for any failure of any transportation mechanism to arrive or depart timely, dangers associated with animals, sanitation problems, food poisoning, epidemics or the threat thereof, lack of or quality of medical care, illness or disease, difficulty in evacuation in case of a medical or other emergency, actual, perceived or threatened epidemics, or for any other cause beyond the direct control of United World Concert Tours. For further information regarding travel to your specific destination(s), you are encouraged to visit the Centers for Disease Control and Prevention’s Travelers’ Health website at www.cdc.gov/travel, as well as, if applicable, the State Department’s International Travel website (http://travel.state.gov). United World Concert Tours reserves the right to cancel a tour at its discretion for the safety of its travelers. No additional compensation will be made.
Any dispute concerning these Terms & Conditions and/or any other matter concerning the trip, including, but not limited to, any events and circumstances occurring during the trip, shall be resolved solely and exclusively by binding arbitration in San Diego, California pursuant to the then existing commercial rules of the American Arbitration Association. In any such arbitration, the substantive (but not procedural) law of the State of California shall apply. By accepting these Terms and Conditions, you are irrevocably, unconditionally, and expressly submitting to binding arbitration, in lieu of having any such dispute decided in a court of law before a jury. You agree to present any claims against us within 30 days after your trip ends.
Because the nature of our business requires coordination with various providers who deliver the travel services, it is necessary to share certain personal information.
We assume no responsibility for and shall not be liable for the acts or omissions of any party not under our control, or any acts of God, unsafe conditions, terrorism, health hazards including pandemics, illnesses, weather hazards, or the suitability for a disabled person of any portion of any trip. We have no special knowledge of dangers during travel or at destinations. For information related to such dangers, we recommend going to the State Department travel website at www.travel.state.gov, click on “Find International travel Information” then click on “Country Information”, and fill in the name of the destination country. For medical and health information, we recommend going to the Centers for Disease Control website at www.cdc.gov/travel, then click on “Destinations” and scroll to the name of the destination country. It is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risks of COVID-19. As a student participant, it is your responsibility to help make the tour a positive and enjoyable experience for yourself, fellow students, and chaperones. All participants are expected to demonstrate high standards of conduct and to accept personal responsibility and consequences for their actions. You are expected to exhibit integrity, courteousness and consideration toward others. This includes those in your group, as well as anyone else with whom you may come in contact, such as drivers, guides and restaurant and hotel staff.

If the student should violate any of these rules, he/she may be sent home at the sole discretion of the chaperones. In such cases, the parent/guardian will be contacted and the student sent home at the parent’s expense.
I, the undersigned (or my parent or guardian if I am under 18 years old), a participant on an educational tour provided by United World Concert Tours (hereinafter referred to as “United World Concert Tours”), hereby agree to the following: United World Concert Tours, its owners, directors, officers, employees and affiliates, your sponsoring school, teachers, chaperones and Group Leaders, (collectively “United World Concert Tours”) does not own or operate any entity which is to or does provide goods or services for your trip including, for example, ownership or control over hotels or other lodging facilities, airline, vessel, bus, van or other transportation companies, local ground operators, providers or organizers of optional excursions or equipment used thereon, food service or entertainment providers, etc. All such persons and entities are independent contractors. As a result, United World Concert Tours is not liable for any negligent or willful act or failure to act of any such person or entity, or of any other third party. Without limitation, United World Concert Tours is not responsible for any injury, loss, or damage to person or property, death, delay or inconvenience in connection with the provision of any goods or services occasioned by or resulting from, but not limited to, acts of God, acts of government, force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind, or the threat thereof, overbooking or downgrading of accommodations, structural or other defective conditions in hotels or other lodging facilities, mechanical or other failure of airplanes or other means of transportation or for any failure of any transportation mechanism to arrive or depart timely or safely, dangers associated with or bites from animals, pests or insects, marine life or vegetation of any sort, dangers incident to recreational activities such as scuba diving, zip lining, snorkeling, paddle boarding, surfing, swimming, kayaking, sailing, canoeing, rafting, horseback riding, natural disasters, hiking, bicycling, rock climbing, etc., sanitation problems, food poisoning, lack of access to or quality of medical care, difficulty in evacuation in case of a medical or other emergency, illness, epidemics or the threat thereof or for any other cause beyond the direct control of United World Concert Tours. (For further information regarding travel to your specific destination(s), you are encouraged to visit the Centers for Disease Control and Prevention’s Travelers’ Health website at www.cdc.gov/travel, as well as, if applicable, the State Department’s International Travel website at http://travel.state.gov/travel/ I hereby acknowledge and understand the risks associated with traveling and voluntarily assume these risks in order to participate in the tour provided by United World Concert Tours. In addition, I release United World Concert Tours from its own negligence and assume all risk thereof.
My United World Concert Tours tour begins with the departure of the United World Concert Tours bus or take-off of the flight from my departure city and ends upon completion of the return flight or United World Concert Tours bus trip to the United States.
Without diminishing Paragraph 1 of this Agreement, I understand that United World Concert Tours is not responsible for me during United World Concert Tours organized activities or when I am apart from United World Concert Tours organized activities, such as visits to friends or relatives, during free time, or during stay-ahead/stay-behind optional periods if the optional period does not include the services of a United World Concert Tours Tour Director.
If I become ill or incapacitated, United World Concert Tours, or my Group Leader, may take any action they deem necessary for my safety and wellbeing, including attempting to secure medical treatment and/or transporting me home.
I agree to abide by United World Concert Tours’ regulations and the directions of my Group Leader or United World Concert Tours’ personnel during my tour. Failure to do so may result in United World Concert Tours terminating me from the tour immediately. I understand that disobeying such rules or directions is cause for me to be sent home, at my own expense, with no right of refund.
I agree to abide by all local laws including those concerning drugs and alcohol. I understand that to abuse or disobey such laws is cause for me to be sent home, at my own expense, with no right of refund. I understand that I will be subject to the laws of the country I am visiting.
I understand that I will be required to pay for any phone calls or incidental personal expenses that I incur at hotels, as well as for any damage I cause to hotel rooms or facilities, buses, ferries, trains, or cruise ships. I will indemnify United World Concert Tours and hold it harmless for any financial liability or obligation which I incur, or injury or damage to the person or property of others which I cause or contribute to, while participating on a United World Concert Tours tour.
I understand that both United World Concert Tours and my Group Leader reserve the right to refuse or cancel my enrollment for conduct which in either’s sole discretion could impact the participant’s ability to comply with trip regulations or which could impact the group’s enjoyment of the trip and that in any such case standard cancellation fees will apply.
United World Concert Tours has the right to make changes in tour itineraries and departure dates and to modify transportation or lodging arrangements. In the event of changes being made, refunds will be given only in accordance with the provisions of the “United World Concert Tours Terms and Conditions” supplied herewith.
I understand that it is my responsibility to secure all necessary travel documents, including passport, visas, transit visa and any required travel insurance unless specifically arranged for the group by United World Concert Tours. Failure to do so does not constitute grounds for a refund except according to the normal cancellation guidelines as outlined in the “United World Concert Tours Terms and Conditions.”
I acknowledge my choice to travel with the teacher or Group Leader organizing my group, and I understand that this choice is not the responsibility of United World Concert Tours. I understand that United World Concert Tours reserves the right to reassign my group to a replacement teacher or Group Leader should my original Group Leader be unable to, or determine not to, participate in the tour and that the standard cancellation policy will apply if I choose not to travel with the new Group Leader.
Any film or video likeness taken of me while participating in a United World Concert Tours program and any comments or statements made by me while participating in a United World Concert Tours program may be used in future promotional or other materials published by United World Concert Tours without payment of any consideration therefor.
This agreement, and the Terms & Conditions supplied herewith (collectively, “Agreement”) constitute the entire agreement between United World Concert Tours and me. I understand that no warranty or representation not herein, including but not limited to any oral statements made to me by agents of United World Concert Tours or by my school or Group Leader, applies to any United World Concert Tours tour. This agreement may be amended or modified only in writing, signed by a United World Concert Tours officer.
BINDING ARBITRATION. I agree that any dispute concerning, relating, or referring to this Agreement, the brochure, or any other literature concerning the tour, or the tour itself shall be resolved exclusively by binding arbitration in San Diego, California, according to the then existing commercial rules of the American Arbitration Association. Such proceedings will be governed by substantive (but not procedural) California law. The arbitrator and not any federal, state, or local court or agency shall have exclusive authority to resolve any dispute relating to the interpretation, applicability, enforceability, conscionability, or formation of this Agreement, including but not limited to any claim that all or any part of this Agreement is void or voidable.

Australia is in the Southern Hemisphere, so their seasons are the opposite of the Northern Hemisphere. This means winter is from June–August. During your tour you will find coolest temperatures in Sydney and the warmest in Cairns.
Sydney’s winter months are June to August when average temperatures drop between 8.8 – 17°C (47.8 – 62.6°F). Sydney’s rainfall is generally highest in June, with an average of 132 mm (5.2 inches), while July is the coolest month when average daytime temperatures reach about 17°C (62.6°F).
Winter in Cairns brings slightly cooler temperatures and lower humidity, making it the peak tourist season. Average temperatures range from 17.5 – 26°C (63.5 – 78.8°F) and there is low rainfall.
Brisbane’s weather in winter is generally dry and mild with mean temperatures between 11 – 21°C (51.8 – 69.8°F). Early mornings and nights can be crisp, but overnight lows rarely drop below 9°C (48.2°F).

You have the option to add trip insurance when you register for the tour.
Standard insurance covers events such as illness which prevent you from traveling. Covers most instances that are out of your control, such as you or a family member getting sick prior to departure. However, you will not be covered for reasons not specifically listed as covered in the policy listed above.
Cancel for Any Reason, allows you to cancel for any reason and receive up to 75% of your money paid. It gives you standard insurance coverage plus the ability to cancel for any reason, such as a scheduling conflict comes up and you decide not to travel. In this scenario the insurance company will reimburse up to 75% of your tour paid. Please review the below document, which covers complete details of the insurance policy.
